Admission Tracking Dashboard Documentation Think of this dashboard as the "Control Center" for your university’s intake process. It is a single page where you can watch every student's journey—from the moment they first apply to the moment they pay their fees and join a class. This guide provides a step-by-step walkthrough of the Admission Tracking Dashboard. Whether you are managing student applications or analyzing enrollment data, this guide will help you navigate the system efficiently. The Admission Tracking Dashboard is your primary tool for monitoring the enrollment process. You can access it from the main dashboard of the site. Total Leads: This shows the total number of students who have started an application. Enrolled Section: This shows the number of students who have completed their payments and are officially part of the program. Application Pipeline: This displays students at various stages, such as "Awaiting Verification," "Invited for Test," or "Qualified." Capture Rate: A key metric that compares enrolled students against the total number of applicants to show your conversion progress. Admission Intelligence (Revenue & Capacity) For a deeper financial and operational look, click the Admission Intelligence Dashboard button. Realized Revenue: Displays the total actual payments received from all students. Seat Capacity: Shows the maximum seats available for each program versus how many have been filled. This helps you identify which programs are almost full. Quick Action Buttons: Merit List: Direct access to the generated merit lists. Export Summary: Generate and download reports in PDF, Excel, or CSV formats. This is available for almost every section of the dashboard. The Admission Funnel (Managing Applicants) The Admission Funnel allows you to see the student journey through a bar graph. Filtering: You can filter data by specific Programs or Semesters to narrow down your view. Accessing Student Lists: By clicking on the Total Leads bar (or any other bar in the graph), the system will take you to a detailed list of all users in that specific stage. Search & Sort: On the list page, you can search for applicants by name or email and see exactly when they submitted their applications. Reviewing & Communicating with Applicants To manage an individual student, locate their name in the list and use the following tools: Review Button: Clicking this opens the student's full application. Here, the manager can Approve, Reject, or send Feedback if the student needs to correct something. Notify Students: Use this button to send direct messages. The system supports two-way communication, meaning students can reply to your messages. Quick Actions: These buttons change based on the student's status. If they haven't paid, you will see "Pending Task" buttons. If they are fully enrolled, you will see a link to their "Learnexify Profile." Export List: Use this option to export and download the report to your computer. The file can be exported in Excel, CSV, or PDF format.  Document Tracking & Conversion Rates The system helps you identify where students are dropping out of the process. Doc Submitted Section: Click this to see who has uploaded their documents. You can also see a list of users who have not submitted documents yet to send them reminders. Success Stages: The dashboard tracks how many students were invited for tests, how many failed, and how many reached the final payment stage. Overall Yield: This calculates the final effectiveness of the admission cycle by comparing total applicants to final enrollments. Program Level Conversion: A specific table shows which programs (e.g., Computer Science vs. Arts) are converting the most leads into paid students. Administration & Automation Tools These tools are designed to save time by performing bulk actions: Automated Nudge System: Located in the sidebar, this allows you to send bulk emails to students based on their current stage (e.g., reminding all "Unpaid" students at once). Recent Activity Log: A real-time feed showing the latest actions on the site (e.g., "Student X just paid the fee").
